New Clinical Hire Requirements

Newly hired employees in patient care and patient-facing roles must have their required vaccines documented by Jan. 2, 2025. This is in an effort to update recordkeeping from a recent audit. Any employee who remains out of compliance as of Jan. 2, 2025, will be subject to disciplinary action including unpaid suspension and/or termination.

All departments should aim to implement these protocols beginning Jan. 1, 2025.

The revised and updated expectations focus on three specific areas:

Preemployment and New Hire Requirements

Below are the required processes that should take place upon a new clinical hire in your respective areas.

  • Background Check (conducted by Central HR)
    • Criminal (Federal/Statewide Check, Sex Offender Registry)
    • Patient Care Safety Registry (Mo Highway Patrol, DSS, DHSS, EDL, EDR)
  • Drug Screen – 9 panel + Fentanyl (conducted by Central HR)
    • Excludes marijuana
  • License/Certification* (verified by hiring manager upon offer)
    • State and institutionally required licenses/certifications (RN, LPN, MA, etc.)
    • BLS/ACLS
  • Education Verification* (verified by hiring manager upon offer)
    • Where required based on position (Pharmacist, NP, CRNA, etc.)

*Central HR is looking into adding this to pre-employment background check screen as a primary source verification required for Joint Commission.

All documents must be uploaded into the employee’s Workday Record within 30 days of hire.

Occupational Health Screening Requirements

Below are the required processes from Occupational Health that should take place upon a new clinical hire in your respective areas.

  • TB Test
  • Tdap
  • MMR
  • Varicella (Chickenpox)
  • Flu – annual requirement due in November
  • Hep B (Blood/Blood Borne Pathogens only)
  • Hep A (Dietary or Food service only)

Vaccinations must be completed within 30 days of hire. The flu vaccine is an annual requirement due every November. Employees can upload proof of vaccinations on their own into Workday.

Orientation and Training Requirements

As of Oct. 1, Central HR will begin a quarterly check of the Missouri Employment Disqualifications List (EDL) with the Missouri Department of Health and Senior Services. Checks will be conducted on all patient care and patient facing staff positions.

  • The EDL is a listing of individuals who have been determined to have:
  • Abused or neglected a resident, patient, client or consumer;
  • Misappropriated funds or property belonging to a resident, patient, client or consumer; or
  • Falsified documentation verifying delivery of services to an in-home services client or consumer.
  • While we check this as apart of pre-employment screening, we are initiating a quarterly check to help ensure our screening is consistent with BJC HealthCare. Generally, employers should not continue to employee a person whose name appears on the EDL.

Additionally, staff new hires should be required to complete the below new hire requirements:

  • University Staff New Employee Orientation
    • Generally, should be completed within the first 30 days
  • Department/Position Specific Orientation and Training
  • EHS Overview
  • HIPAA Training
  • EPIC Training
  • Additional Training
  • Skills/Competencies
  • Safety protocols
  • Others

Training completed in a university system (Workday Learning or Learn@Work) are archived for compliance purposes. Any department specific training must be documented and uploaded into the employee’s Workday Record.
